Task 1

Define the key characteristics of any project

According to Kerzner (2016), a project has several key features that make it different from other terms. The characteristics of the project are summarized below:

Unique: A project holds unique features in terms of goals, objectives and other activities.

One time task: A project is considered as one time and temporary task.

Fixed Budget: a project is accomplished within the fixed budget.

Certain purpose: has a certain purpose

Start and end time:  a project has a start date and end date.

Uncertainty: uncertainty is connected with project functions.

Multidisciplinary: Multidisciplinary fields and skills are available in a project.

Conflict: Due to several cultures and skills, conflict may arise in a project.

List and briefly explain the five (5) key stages in Project Management?

Horine (2016) suggested that project management is to manage the activities of the project for fulfilling the goals of the project. The project manager performs several stages to manage the project. These are given below:

  1. Project Initiation

The project manager starts the project management with the project initiation step. This stage comprises the justification of relevant documents and the feasibility study of the project. The estimation of costs and benefits is determined in this step. The acceptable project only requires the next step.

  1. Project Planning

After the feasibility study of the project, the project manager makes a plan for the proposed project. Planning is required to find out the necessary requirement of project functions. Project planning helps to estimate the expenses, potential risks, problems and solution methods, the channel of communication and the goals of the project (Eden, 2016).

  1. Project Execution

This step indicates the proper implementation of the plans for the project.  The project manager connects with this stage for a longer period of time because it is the ultimate responsibility of the project manager. After planning; the project has to convert the theoretical plan into a practical work schedule by using the team members for meeting the needs of the project clients.

  1. Project Monitoring and Control

The term monitor means follow-up up and the term control refers to ensure performance with quality. This stage is required giving more concentration on the actual performance of the team members and take better initiatives to confirm the standard performance of them.

  1. Project Closure

Finally; the key role of the project manager is to deliver the project to the clients after completing the whole task.  This stage is called project closure and the formal ending of the project management stage.

What is the purpose of the Project Initiation Document (PID)? List three items that could be found in the PID

According to Clarizen (2018), Project Initiation Document (PID) is the relevant documents of the project prepared before the project planning. This document is very necessary for setting the goals & objectives and other related planning of the project. The feasibility of the project is examined by analyzing the PID.  PID has 3 items that summarized below:

  • Project justification
  • Communication networks with stakeholders and
  • Project planning
